What does BenefitHelp Solutions do?

Simply put, we take care of the administrative side of COBRA. This includes notifying employees about their rights, managing premium payments, coordinating eligibility with carriers and sending all required notices. Our goal is to simplify COBRA for employers and ensure a smooth experience for employees transitioning from group health plans.

What’s included in our COBRA administration?

Here’s what you can expect when you choose BenefitHelp Solutions for COBRA administration: 

Set-up of group and plan information

  • Upon receiving your completed COBRA intake packet, we configure all COBRA plans and rates
  • We receive plan and rate information directly from carriers for Bend Chamber Association plans, ensuring accuracy

Takeover notices to current continuants

  • We notify current COBRA participants about our role and provide them with takeover notices and monthly premium coupons for remittance

Enrollments and eligibility updates

  • We ensure only eligible employees can enroll. Qualified Beneficiaries (QBs) who elect COBRA and make their premium payments are reinstated with the appropriate carriers
  • Coverage is not activated until premiums are paid

Premium administration for Qualified Beneficiaries

  • We provide premium coupon booklets with election forms and offer EFT payment options
  • Premiums are collected and remitted directly to carriers for Bend Chamber Association plans by the 10th of the month. For plans outside the Chamber, remittance follows the group’s preferences
  • We also handle late payment reminders, short payment notices, open enrollment, rate changes and termination due to non-payment

Required COBRA notices and correspondence

  • General notices for newly enrolled employees and dependents
  • Qualifying event notices for QBs
  • Open enrollment letters and packets
  • Notifications for premium shortages, rate changes and termination
  • Medicare coverage letters
  • Notices of ineligibility or rights to convert to an individual plan

Carrier notices

  • Automated updates to carriers for enrollment, eligibility changes and terminations.

Online self-service portals

  • Easy access for employers, brokers and COBRA members to manage their plans and information

Getting started is simple:

  1. Request the COBRA Intake Packet

    Send an email to JBPadmin@johnsonbenefitplanning.com or bcocsales&service@benefithelpsolutions.com to receive your packet.

  2. Complete the required forms

    • Bend Chamber of Commerce COBRA worksheet
    • COBRA Administrative Agreement
    • Business Associate Agreement
    • ACH form (needed for subsidy payments, if applicable)

  3. Submit your packet

    Email the completed documents to JBPadmin@johnsonbenefitplanning.com

We’ll configure your COBRA plans and rate and ensure everything is set up by the first of the following month or your effective date, whichever comes sooner.

Already signed up and need to renew?

If you’re already signed up, here’s what you need to know about renewals:

Bend Chamber plans

  • Renewals are automatic. No action is required from you as an employer.

Plans outside the Chamber

  • BenefitHelp Solutions will contact you 60 days before renewal to request plan and rate information. Ensure timely submission to avoid disruption.
